Important changes to PeopleAdmin hiring processes

New developments will shift the way position descriptions are created, updated and approved.

BeginningTuesday, new developments will shift the way position descriptions are created, updated and approved in support of efforts to attract and retain talent.

Changes that will affect the way you search for positions.

  • To keep data clean and to maintain uniformity within different systems, position numbers will now have a total of six characters. For example, if a position number is “E 123,” insert two zeros between the “E” and the position number to read “E00123.” If the position number has four digits, insert one zero between the “E” and the position number to read “E01234.”

Changes that will affect who approves a position-description modification or the creation of a new position description.

  • Hiring managers, next-level supervisors and vice presidents/deans will be attached to position descriptions, limiting the email notifications prompting an action by nonapprovers. Only people who need to approve the position description will see the position description move through the approval process. It is important that initiators list the appropriate hiring managers, next-level supervisors and vice presidents/deans.

Student employment.

  • Student employment will move into PeopleAdmin. Student-hiring managers will be assigned a new user group within PeopleAdmin called Student HM. This new user group will allow student-hiring managers to post student positions and initiate hiring proposals.

Additional changes

Employees will be attached to position descriptions, allowing them to easily view their position description and the reporting line.

  • The hiring manager will initiate the hiring proposal; the hiring proposal now triggers the onboarding process.
  • An organizational structure has been created in PeopleAdmin, including two new fields: Location and Division. The Location field will allow users to select their University branch. The Division field will allow users to select their area within the branch. The creation of the Organizational Tree will allow for better routing of position descriptions, a clearer reporting structure and more accurate departmental/division data.
